Diploma Convocation Ceremony 2008
 
PROCEDURES & INFORMATION
 
Below are the details of the procedures for the Diploma Convocation Ceremony.
NOTE: Please read the instructions carefully and follow these instructions to make the occasion a successful and memorable one for you.
 
ORDER OF PRESENTATION  
 
The order of presentation for the graduands will be as follows: -
 
 
 
 
INVITATION CARDS  
 
Each graduand will be given two Invitation Cards. The Invitation Cards will be issued to you when you collect your gown. All guests must bring along their Invitation Card for admission into the Hall. As the seating in the Hall is limited, entry into the Hall shall be by Invitation Cards only. Children under 12 years of age will not be allowed into the Hall. As the Convocation is a formal ceremony your co-operation is sought to inform your parents/guests to be seated by 9.00 a.m. for the morning session and 2.00 p.m. for the afternoon session.
 
COLLECTION AND RETURNING OF CONVOCATION ATTIRE

(i)
Graduands who did not collect their gowns will not be allowed to participate in the Ceremony even though they may have paid their fee. Graduands who are not able to collect their gowns personally may authorize others to collect on their behalf by filling up the Authorization Form and present it to the staff on duty.
 
(ii)
Please take note that graduands are not allowed to transfer their gowns to their coursemates/ friends.
 
(iii)
The deposit of RM 300.00 will be refunded through account transfer (for graduand who have an account with Public Bank) three weeks after the return of full set of Convocation attire (gown, & Mortar Board) in good condition.* Graduands are reminded to check their account for the refund after their gowns are returned. For graduands who do not have an account with Public Bank, the refund for the deposit of gown will be through cheques and sent to their home address as indicated in the attendance form.

*(defined as not torn and tattered, stained or discoloured and/or in such condition not fit to be worn)
 
(iv)
There will be strictly no collection of convocation attire on convocation day, i.e. on 13th, 26th & 27 July 2008.
 
(v)
Graduands are requested to fill in the Gown Form (in duplicate) which has been enclosed before you collect your gown. Bring along your student ID card/IC for the collection of gown.
 
ATTIRE  
 
All graduands are requested to observe the following dress code for the convocation ceremony.
 
All graduands are required to wear their graduation gown, hood & mortarboard. Additionally:
 
(i) Male graduands: Formal attire with collared shirt & tie, socks & dark coloured shoes.
 
(ii) Female graduands: Long-sleeved blouse/shirt, skirt or formal long pants and dark coloured court shoes.
 
NOTE: Casual pants / jeans or sports shoes, sandals are strictly not allowed.
 
REGISTRATION OF ATTENDANCE  
 
All graduands participating in the Graduation Ceremony must register their attendance before the ceremony. Please bring along your Identity Card/ Student ID Card for registration. Please click on to the link for the time and place for registration, which are listed as follows:

NAME CARDS  
 
Upon registration, each graduand will be given a card indicating his/her name. Please keep the card carefully as you are required to hand this card to your Head of School for him/her to read your name when you go up the stage to receive your scroll. Graduands without the name card will not be permitted to go on stage.
 
BRIEFING OF GRADUANDS  
 
After Registration all graduands must proceed to their respective Assembly Point indicated in the plan to prepare for the Graduand Procession into the Hall. Graduands will then be briefed on the proceeding of the graduation ceremony at 8.30 am sharp for the morning session and 1.30 pm sharp for the afternoon session.
 
PROCEDURE DURING THE CEREMONY  
 
The Head of School concerned will present graduands in alphabetical order for the award of the Scroll. Graduands will be directed by the staff to move in batches to the foot of the steps leading to the stage to await their turn to receive the scroll. For the route going up the stage, please refer to the Route Plan, as follows:

After presenting your name card to the staff on the stage, proceed immediately to the position which would be indicated when your name is called by the Head of School to receive your scroll. In the unlikely event that there is a mix-up in the names, or your name is omitted, please proceed to receive your scroll. Please follow the instructions of the staff.

 
PHOTOGRAPHS  
 
The College has appointed an Official Photographer to take photographs of individual graduands receiving their scroll. To avoid distractions, graduands and guests are not permitted to take photographs during the Ceremony in the Hall. You may purchase the photographs from the photographers on the following dates:-
 
Monday, 14 July 2008   - 9 a.m. to 3.00 p.m.     College Hall
Monday, 28 July 2008   - 9 a.m. to 3.00 p.m.     College Hall
 
HANDPHONE  
 
Graduands and their parents/guests are required to SWITCH OFF their handphones during the Ceremony in the Hall.
 
VEHICLE PARKING  
 
Graduands and their parents/guests may park their vehicles in the Campus car parks designated for this purpose. Each graduand will be given a car sticker. Please display the car sticker prominently on your windscreen. The car sticker will be issued to you when you collect your graduation gown.
